Bella Rewards – Terms of Service
The Bella Skin Institute Rewards App (“Programme”) is operated by Bella Skin Institute, with its principal place of business associated with the domain https://www.bellaskininstitute.com.
Please read these Terms & Conditions carefully. You are advised to save a copy of these Terms for future reference.
The Programme
- These Terms govern your participation in the Bella Skin Institute Rewards App. Participation in the Programme constitutes acceptance of these Terms. You may be required to confirm acceptance by ticking a box within the Bella Skin Institute Rewards mobile application (“App”).
- Bella Skin Institute may introduce additional terms and conditions for optional elements of the Programme, including but not limited to promotions, bonus rewards, surveys, referrals, events, or limited-time offers. Participation in such optional elements constitutes acceptance of any additional terms.
- The Programme, including all rewards, content, and systems, remains the property of Bella Skin Institute. Bella Skin Institute reserves the right to amend, suspend, or terminate the Programme or these Terms at any time, with or without notice.
- The Programme is available to individual customers of Bella Skin Institute who are legally capable of entering into binding agreements.
- The Programme is intended for personal, non-commercial use only. Commercial exploitation of the Programme is strictly prohibited.
- Employees of Bella Skin Institute, affiliated partners, and their immediate family members may be excluded from participation at Bella Skin Institute's discretion.
- Participants must register an account through the Bella Skin Institute Rewards App to participate. Each participant is entitled to one account only.
Participants must provide accurate, current, and complete information and must promptly update any changes. The email address used to register must belong to the participant.
Third-Party Sign-In (Apple & Google) — Participants may choose to register and sign in to the App using their Apple ID or Google account as an alternative to creating a standard Bella Rewards account.
Apple Sign-In: When a participant signs in with Apple, Bella Skin Institute may receive the participant's name and email address only. Bella Skin Institute does NOT use Apple Sign-In data for advertising or marketing, share Apple Sign-In data with third parties, or access any additional Apple account information beyond what is required for authentication.
Google Sign-In: When a participant signs in with Google, Bella Skin Institute may receive the participant's name, email address, and basic profile information (such as profile photo and public profile data) only. Bella Skin Institute does NOT use Google Sign-In data for advertising or marketing, share Google Sign-In data with third parties, or access any additional Google account information beyond what is required for authentication.
Use of third-party sign-in is entirely optional. Participants who prefer not to use Apple or Google Sign-In may register using an email address and password.
- Account security remains the responsibility of the participant. Bella Skin Institute is not responsible for losses resulting from unauthorised access due to failure to safeguard login credentials.
Bella Skin Institute reserves the right to suspend or terminate a participant's access to the Programme at any time where, in its reasonable opinion, there has been:
Abuse or attempted abuse of the Programme or rewards;
Breach or attempted breach of these Terms or any additional terms;
Fraudulent, misleading, offensive, or inappropriate behaviour in connection with the Programme.
- Bella Skin Institute may communicate Programme-related information via email, push notifications, or in-app messages. Communication preferences will be respected where reasonably possible.
By registering for the Programme, participants consent to receive Programme-related communications and promotional messages from Bella Skin Institute. Participants may opt out of marketing communications in accordance with applicable laws.
SMS Notifications — The App may send SMS (text message) notifications to participants who voluntarily opt in. SMS is disabled by default and will not be activated without the participant's explicit consent.
SMS notifications are limited strictly to:
Points Expiry Notifications inform the participant when loyalty points are approaching their expiry date.
Birthday Reward Notifications notify the participant of available birthday rewards.
To activate SMS, the participant must: provide a valid mobile phone number during onboarding or within the Profile section; explicitly enable the SMS toggle within account settings; and confirm consent to receive the above message types.
Participants may opt out of SMS notifications at any time by disabling SMS within the App under Profile > Notifications > SMS, or by replying STOP to any message sent from Bella Rewards.
Standard message and data rates charged by the participant's mobile carrier will apply to all SMS communications.
Bella Skin Institute does NOT share, sell, rent, or disclose phone numbers to third parties or affiliates (except as technically necessary for our SMS delivery provider, Twilio, to deliver messages on our behalf), and does NOT use phone numbers for any purpose beyond those described in these Terms.
Mobile phone numbers are retained while the participant maintains an active account with SMS enabled. Upon opt-out or account closure, phone numbers are retained for 90 days only to process the opt-out, after which they are securely and permanently deleted.
- Participants may leave the Programme at any time by discontinuing use of the App or contacting Bella Skin Institute through the contact details provided in the App or on the Website.
- Accounts that remain inactive for a prolonged period (including no reward redemptions) may be deemed dormant and removed from the Programme without prior notice. Re-registration may be required.
- Bella Skin Institute will use reasonable efforts to ensure the availability of the Programme, but does not guarantee uninterrupted, error-free, or continuous access.
- Bella Skin Institute is not responsible for delays, service interruptions, or losses caused by network failures, system outages, or internet-related issues.
- To the fullest extent permitted by law, Bella Skin Institute shall not be liable for any indirect, incidental, consequential, or special losses, including but not limited to loss of data, business, reputation, or goodwill arising from participation in the Programme.
- By participating in the Programme, participants consent to their personal data being shared with trusted third parties (including technology or rewards partners) solely for the purpose of administering and operating the Programme, in compliance with applicable data protection laws.
Medical Disclaimer
- All information provided through the App is for general informational purposes only and is not intended as medical advice. Users must consult licensed healthcare professionals for diagnosis and treatment.
- Loyalty points, rewards, or promotions do not influence or determine medical decisions, treatments, or outcomes.
Points-Only Rewards System
- The Bella Skin Institute Rewards Programme operates exclusively as a points-based loyalty system. Participants may earn, accumulate, and redeem loyalty points only.
- The Programme does not issue vouchers, coupons, promo codes, gift cards, certificates, downloadable files, or physical rewards, and no third parties are involved in the administration or fulfillment of rewards.
- Loyalty points are non-transferable and may only be used within the Bella Skin Institute Rewards App in accordance with these Terms.
Rewards
Eligibility and Participation
- Rewards are available to eligible participants who comply with these Terms.
- Participation in the Programme allows eligible participants to earn and redeem loyalty points only. The Programme does not issue vouchers, coupons, gift cards, promo codes, or any downloadable or physical reward items.
Reward Redemption
- Rewards may be redeemed through in-app redemption.
- Rewards under the Programme are redeemed solely through the accumulation and use of loyalty points within the Bella Skin Institute Rewards App.
- Redeemed rewards will be applied only as points-based benefits, such as point deductions, point-based service eligibility, or in-app recognition, as determined by Bella Skin Institute from time to time.
- No vouchers, codes, certificates, PDFs, or physical items will be issued upon redemption.
- No exceptions shall be made for the redemption of expired points. Participants expressly agree not to request or seek any exceptions.
Value and Availability
- Reward values may vary and are subject to change without notice.
- All rewards are available on a first-come, first-served basis, while supplies last.
- Bella Skin Institute reserves the right to substitute rewards of equal or greater value where necessary.
- Loyalty points are not legal tender, and cannot be exchanged for vouchers, discounts, or monetary compensation outside the Programme unless explicitly stated by Bella Skin Institute within the App.
Non-Exchangeable for Cash
- Rewards are non-transferable and may not be exchanged for cash or monetary value.
- Points may only be used in accordance with the rules of the Programme and hold no value outside the Bella Skin Institute Rewards App.
Responsibility and Liability
- Bella Skin Institute is solely responsible for the allocation, calculation, and redemption of loyalty points. The Programme operates strictly as a points-based rewards system.
Promotions & Discounts
- Promotions provide discounts only and do not award loyalty points.
- Promotions may have usage limits, validity periods, or service restrictions.
- Promotions cannot be combined unless explicitly stated.
- Bella Skin Institute reserves the right to modify or cancel promotions at any time.
Appointment Requests
- Appointment submissions through the App are requests only for call back, not confirmations.
- Appointment availability depends on clinic schedules and service availability.
- Bella Skin Institute reserves the right to accept, reschedule, or cancel appointments.
- The Clinic is not liable for missed or delayed appointments due to technical issues.
Calendar Integration (Apple, Google & Outlook)
- The App offers optional calendar integration with Apple Calendar, Google Calendar, and Microsoft Outlook Calendar to help participants manage loyalty-related reminders such as points expiry notifications. This feature is entirely optional and does not affect the participant's ability to earn or redeem loyalty points.
- Calendar access is only enabled with the participant's explicit prior permission via the device's standard permission prompt. No calendar data is accessed without consent.
- With the participant's permission, the App may: view calendar events relevant to the App's functionality; create, update, or display calendar events such as points expiry reminders; and retrieve event information to sync reminders within the App.
- The App accesses only the following calendar data: event titles; event dates and times; and event descriptions (only where required for App functionality).
- Bella Skin Institute does NOT: access calendar data without explicit permission; use calendar data for advertising, marketing, or profiling; share calendar data with any third party; store calendar data on Bella Skin Institute servers (data is processed in-app only, in real time); or use calendar data for any purpose unrelated to the App's core functionality.
- Calendar data is not stored by Bella Skin Institute. Upon revocation of calendar access, no further data is accessed and no residual data is retained.
- The App's use of information received from Google APIs complies fully with the Google API Services User Data Policy, including all Limited Use requirements.
Participants may revoke calendar access at any time through the following methods:
Apple Calendar: Settings > Bella Rewards App > Calendar, or Bella Rewards App > Profile > Connect Calendar > Apple Calendar
Google Calendar: myaccount.google.com > Apps with account access > Bella Rewards > Remove access, or Bella Rewards App > Profile > Connect Calendar > Google Calendar
Outlook Calendar: myaccount.microsoft.com > Privacy dashboard > Connected apps and experiences, or Bella Rewards App > Profile > Connect Calendar > Outlook Calendar
Payments & Transactions
- Payments are processed at the clinic or via approved third-party payment providers.
- The App does not guarantee the storage or processing of payment data.
- Points are awarded only after successful payment confirmation.
- Refunds are governed by the clinic's refund policy.
- Any refunds will result in a deduction of the associated points.
Data Protection
- Personal data collected in connection with the Programme will be processed in accordance with Bella Skin Institute's Privacy Policy and applicable data protection laws.
HIPAA & Protected Health Information (PHI)
Bella Skin Institute is a healthcare provider subject to the Health Insurance Portability and Accountability Act of 1996 (“HIPAA”) and its implementing regulations.
Use and Disclosure of Protected Health Information
In the course of operating the Programme and providing healthcare services, Bella Skin Institute may collect, use, store, and disclose certain health-related information that constitutes “Protected Health Information” (“PHI”) as defined under HIPAA.
PHI will be used and disclosed only as permitted or required by HIPAA, including for purposes of:
- Treatment, payment, and healthcare operations
- Administration of the Bella Skin Institute Rewards Programme, where applicable
- Legal, regulatory, or compliance obligations
Rewards Programme Limitations
The Bella Skin Institute Rewards App is not intended to store full medical records. Participation in the Programme does not require users to submit detailed medical histories, diagnoses, or treatment plans through the App.
Loyalty points, rewards, promotions, or Programme participation do not influence medical judgment, clinical decision-making, or treatment recommendations.
Third-Party Service Providers
Bella Skin Institute may engage trusted third-party service providers (including technology or hosting providers) to support the operation of the App and Programme. Where such providers may have access to PHI, Bella Skin Institute will maintain appropriate Business Associate Agreements (BAAs) as required under HIPAA.
Security Safeguards
Bella Skin Institute implements reasonable administrative, technical, and physical safeguards designed to protect the confidentiality, integrity, and availability of PHI in accordance with HIPAA Security Rule requirements. However, no system can be guaranteed to be 100% secure.
Participants are responsible for safeguarding their login credentials and using the App in a secure manner.
User Rights Under HIPAA
Where applicable, participants retain rights under HIPAA, including the right to:
- Request access to their PHI
- Request corrections to inaccurate PHI
- Request restrictions on certain uses or disclosures
- Receive an accounting of disclosures, as permitted by law
Requests related to PHI must be submitted directly to Bella Skin Institute using the contact information provided in the App or on the Website.
HIPAA Notices
Bella Skin Institute's Notice of Privacy Practices governs how medical information may be used and disclosed, and how participants may access such information. In the event of a conflict between these Terms and the Notice of Privacy Practices, the Notice of Privacy Practices shall control.
SMS Communications
- Bella Skin Institute may send SMS (text message) notifications to participants who have explicitly opted in through the Bella Rewards App.
- SMS notifications are limited to transactional messages, including loyalty points expiration reminders and birthday reward notifications.
- SMS notifications are disabled by default. Participants must actively enable SMS by providing a mobile number and turning on the SMS toggle in the App's Profile settings.
- Message frequency varies based on account activity. Message and data rates may apply.
- Participants may opt out of SMS notifications at any time by replying STOP to any message or by disabling SMS in the App settings. Upon opting out, a final confirmation message will be sent, and no further SMS messages will be delivered.

- SMS consent is not a condition of participation in the Programme.
General
- Additional information about the Programme may be found within the App or on the Bella Skin Institute website. We recommend that you retain a copy of these Terms for future reference.
- These Terms shall be governed by and construed in accordance with the laws of the State of New York, United States of America, except where prohibited by applicable consumer protection laws. Nothing in this section shall limit or waive any rights or remedies available to participants under the laws of their state of residence.
- Subject to the foregoing, any disputes arising out of or relating to these Terms or the Programme shall be brought in the state or federal courts located in Nassau County, New York, and the parties consent to the personal jurisdiction of such courts.
